Opening (Interview Procedure)

To open this, navigate to Recruitment->Openings and click on the eye button in the Position Title column for the position whose interview procedure you want to start. 

From the Candidate view, first select the Interview Procedure tab to review interview details and perform actions like scheduling interviews, adding comments, giving ratings, assigning aptitude tests, etc.

After selecting the Interview Procedure tab, all the interview stages will be visible below.

To schedule an interview, first click on the + Add Follow Up button and select the follow-up stage as Schedule / Reschedule Interview. On selecting Schedule/Reschedule Interview, a modal will open to add scheduling details for this interview stage.

Schedule/Reschedule Interview Modal:

  • Select the schedule date and time (by default, current date and time will be selected)

  • If you want to add more interviewers than defined in the flow, you can select them from here.

  • Set reminder before the interview time.

  • Select the mode of interview:

    • If Offline, select the premise, or write by selecting other location

    • If Online, select the meeting medium

      • If the account is already configured, you can select auto-generate link and copy it after scheduling

      • If the meeting is already created, deselect auto-generate link and paste the sharable link

  • Skip This Stage – If you want to skip this stage while scheduling, select this option and provide the reason.

Note: If scheduling multiple interviews at the same time, Skip This Stage will be enabled only for the first stage because the first stage is not completed yet.

This option is available only if skip stage is enabled in stage configuration and in the flow.

  • If you want to send email to the candidate, switch to Yes (same for interviewers)

  • If you want to assign a seat, click on Allocate Seat. All vacant seats will be visible, and you can assign one

Note: This option is available only if System Required Configuration is enabled for the interview stage.


At the end, there are 3 buttons:

  • Check Availability – To check schedule conflicts with personal and system calendar

  • Submit – To schedule the interview / add follow-up

  • Close – To close the modal without scheduling

  • Add Description if required

Stage Status Indicator:

There is a check icon next to every stage name in the modal:

  • Gray – Stage not scheduled

  • Blue – Stage scheduled or configuration completed

  • Green – Stage completed

  • Red – Stage cancelled

Process on Interview Stage:

Once interviews are scheduled, we can proceed to take interviews and fill ratings.

After scheduling, two buttons will be visible next to the stage name:

  • Add Interviewer(s)

  • Cancel Interview

Next to interviewer:

  • Transfer Interviewer

  • Remove Interviewer

On the right side of the stage, options are available:

  • Skip Stage – Available only if enabled in configuration and flow

  • Mail icon – To send reminder to interviewer

  • Comment icon – To add comments

Note for Comment:

  • First, start the timer if interviewer timer is enabled

  • There are two options: Pause and Stop

While adding comment:

  • Select the exact date and time of interview if missed earlier

  • All interview questions will be visible; interviewer can fill answers

  • To submit, stop the timer

  • Add ratings and select whether the candidate passed or failed

  • Click Add Comment

After saving, edit option (pen icon) will be available below rating and status.

  • If candidate has failed, only Reject option will be available.
  • If candidate has passed, interviewer can Reject or move candidate to next round.

All next round buttons will be available after that stage starts.

Aptitude Test:

The marks obtained by the candidate can be seen once the candidate has taken the test.

After completing all the stages, click on the Complete Interview button.

While completing the interview, select the person who conducted the interview (if multiple recruiters are assigned). We can also send the mail to the candidate regarding the interview performance by selecting Send Interview Performance Mail.

Note: If candidate is rejected (follow-up ended), we can re-approach the candidate instead of creating a new application. For this, go to Basic Details of the application, and at the end there is a Reapproach Candidate option.
